PTO Meeting Minutes – September 17, 2013

The meeting was called to order by Daniel Durant at 4:10 p.m.

Approval of Minutes

  • Motion to accept the minutes from May’s meeting, seconded.  Motion carried.

Correspondence

  • Nothing new to report.

President’s Report

  • Successes and accomplishments of last year’s events recalled-STEM Expo-potluck supper, family engineering night-ice cream served, etc.  Note other PTO sponsored events and fundraisers on the back of the membership brochure.
  • Sweatshirt and t-shirt orders to be placed 2-3 times this year.
  • Volunteer help is requested, encouragement to become involved. Recruitment of PTO memberships is also needed. Calendar of planned events was reviewed.
  • Student governance council involvement is encouraged. This will be discussed more in detail in the principal’s meeting.
  • Elections for new PTO officers will take place in May, for the next school year 2014/2015. Nominations will go out in April.

Treasurer Report

  • Beginning balance as of 7/1/13, $2713.18.  Ending balance as of 9/17/13, $3432.55.
  • Fiscal report through June 2013 noted.
  • Welcome back breakfast the first week of school, for STEM staff, successful.
  • Motion to accept the treasurer’s report, seconded. Motion carried.
  • The IRS requires books to be audited annually.  Last year’s cost to do this, by a CPA, was $300.  The executive board feels this cost isn’t necessary with the level of activity.  A few volunteers are requested to audit the books to satisfy requirements.  One volunteer noted, Suneeta Krishnan.
  • Proposed budget for 2013-2014 reviewed.
  • Motion to accept the budget, seconded.  Motion carried.

 Old Business

  • Nothing new to report.

 New Business

  • Volunteers are needed for the yearbook committee, open house (membership/used uniform/logo items table), Lyman pie fundraiser chairperson, and dress down day help. Ms. Wilson offered to help with dress down days.  Jamie Maheu volunteered to help with the pie fundraiser.  Suneeta offered to help coordinate room parent process.
  • Guidelines for submitting requests for monies, by teachers and staff, presented.
